The Published Rate and the Tax Behind It

The Midwest Healthcare Engineering Conference and Trade Show runs November 8 to 10, 2026 at the Indiana Convention Center in Exhibit Hall A. The venue forecasts 600 attendees.

The organiser’s hotel page names one property. The Westin Indianapolis, 241 West Washington Street, carries a group rate of $179 a night plus taxes and applicable fees.

The block link on that page describes the rooms as available at special rates on an exclusive basis. It renders no rate table, no inclusion list and no penalty schedule until you enter dates.

Indiana applies 7 percent sales tax to a room, and Marion County adds a 10 percent innkeeper’s tax. Seventeen percent sits on the room rate, so each dollar off the rate removes 17 cents of tax with it.

The organiser publishes no housing cut-off date, no minimum hold and no attrition clause on its hotel page, FAQ page or schedule page.

Set the Walk-Away Number Before the First Ask

Pick the all-in ceiling the group can defend and convert it to a room rate. Divide the ceiling by 1.17.

An all-in $185 a night needs a room rate of $158.12. An all-in $190 needs $162.39. An all-in $195 needs $166.67.

State the walk-away number as the all-in figure. The published rate of $179 a night comes to $209.43 with the tax on it.

A group that walks away from a rate above its ceiling loses nothing. A submitted request carries no obligation, and hotelhaggle states that the group pays the hotel directly at the agreed price.

The Tuesday Night Is the Trade

The published schedule sets the shape. The pre-conference session runs Sunday from 3:00 to 4:30 p.m., with a reception from 4:45 to 6:30 p.m. at The Westin Indianapolis. Monday registration opens at 7:00 a.m., and the Happy Hour in the Hall and ribbon cutting run from 4:00 to 6:00 p.m.

Tuesday registration opens at 7:30 a.m. The general session runs 9:00 to 10:15 a.m., the trade show floor opens at 11:30 a.m., the grand prize drawing runs at 3:00 p.m., and free time runs to 5:00 p.m. The schedule carries nothing after 3:00 p.m.

Offer the property a Sunday and Monday commitment and no Tuesday night. The property keeps that night for its own sale, and the group asks for a rate below $179 in return.

Ask the same question about Saturday. A quote that carries a Saturday arrival or a three-night package should price each night separately.

Ask What the Rate Includes

The block link publishes no inclusion list beside the rate. Ask for five terms in writing before the offer is accepted.

One: the number of rooms the property will hold for the group. Two: the date the group can release unsold rooms without penalty. Three: the attrition or performance clause, quoted from the property. Four: the inclusion list, covering breakfast, parking or valet, and any amenity credit. Five: the deposit schedule and the final payment date.

The block link also publishes no cancellation schedule for the room. Read the terms your own rate carries and put the group’s release date against them.

The Supply Behind the Rate

The venue publishes its own downtown counts. Downtown Indianapolis holds 7,100 hotel rooms, and 4,700 of them connect to the Indiana Convention Center by skywalk. The venue states that more than half of the downtown rooms sit within blocks of the building.

Against the venue’s forecast of 600 attendees, those 4,700 skywalk-connected rooms come to about 7.8 rooms for every attendee.

The venue publishes a downtown skywalk map, and it places The Westin on the walk route.

Four Lines for the Request

One: two nights, Sunday, November 8 and Monday, November 9, 2026, with a Tuesday, November 10 departure.

Two: the volume, at 600 forecast attendees, with the room count the group will hold each night.

Three: the all-in ceiling for the stay and the room rate that meets it.

Four: the five terms above in writing, with the release date for unsold rooms.

Send three or four requests across skywalk-connected properties and compare the offers side by side. Each additional offer gives the group a working alternative to $179.

hotelhaggle states that it sends an offer to 50 or more hotels at once, that hotels accept, counter or decline, and that responses typically arrive within 24 to 72 hours. Submitting is free.

One condition travels with the booking. The platform’s seller-of-travel page lists Florida, Hawaii, Iowa and Washington as states where it cannot process requests from residents or for travel, and the home-page FAQ names the same four states as restricting name-your-price bookings. Indiana does not appear on either list.

Registration opened June 11 and the early-bird window closed September 14. A submit in early October leaves room for counters.
