Four nights against 7,100 downtown rooms
The National FFA Convention and Expo runs Wednesday October 21 to Saturday October 24, 2026 at the Indiana Convention Center. The venue publishes a forecast of 70,000 attendees, and Lucas Oil Stadium lists the same event over the same four days. Downtown Indianapolis holds 7,100 hotel rooms, and 4,700 of them connect to the convention center by skywalk. The forecast is about ten times the downtown room count.
The organiser sheet publishes the block rates
The National FFA Organization's chapter housing sheet is dated May 8, 2026 and prints a 2026 rate for each property on it. The rates exclude tax, and the sheet prints the tax rate beside each property. Downtown Indianapolis carries 17 percent, and outer properties on the sheet carry 15 percent.
The sheet lists the Fairfield Inn and Suites Indianapolis Downtown at $230 and the Hyatt Regency Indianapolis at $234 among the downtown properties it labels skywalk-connected. The Hilton Indianapolis Hotel and Suites carries $172 for one or two guests. The outer ring carries lower rates, among them the Fairfield Inn and Suites Noblesville at $135 and the Residence Inn Indianapolis Fishers at $149, both 21 miles or more from the convention center.
A group booker can anchor a bid to the sheet. Each property on the list prints its own number, so the published rate sets the reference ceiling for the week.
The timing pressure
Chapter housing opened May 13, 2026 at 6 p.m. EDT and closes September 23, 2026 at 5 p.m. EDT. The last day to cancel without penalty was September 2, 2026 at 5 p.m. EDT. The organiser asks groups not to contact hotels until after September 24, when hotels download the reservations and read the comment fields.
FFA runs the chapter channel with Visit Indy's Housing Bureau. A group that wants a specific room type or floor calls the hotel after September 24.
What four nights cost
The convention runs three nights from a Wednesday arrival to a Saturday close. A four-night stay adds the Saturday night and departs Sunday October 25.
Work the four nights from the sheet. $230 at the Fairfield Inn and Suites Downtown is $920 before tax and $1,076.40 at 17 percent. $234 at the Hyatt Regency is $936 before tax and $1,095.12. $172 at the Hilton Indianapolis Hotel and Suites is $688 before tax and $804.96.
Set the walk-away at the downtown floor on the sheet. A rate above $172 a night before tax asks the group to pay more than the organiser's own published rate for the same week.
Ask for the skywalk room
Name the skywalk connection as a condition of the request and name the property. The venue states that skywalk hours are event dependent, with a rule of thumb of a lock down around 11:00 p.m. and a reopening around 6:00 a.m. Ask for the connection and the hours in writing on the confirmation.
Hold the room through Saturday evening
The convention closes Saturday October 24. The American FFA Degree Ceremony and the seventh general session run that day at 1:30 p.m. A Saturday departure needs a late checkout and the luggage hold. Ask for both in writing, so the Saturday evening runs without a fourth paid night.
Where the leverage sits
hotelhaggle sends one request to more than 50 hotels, and each hotel accepts, counters or declines. Responses arrive within 24 to 72 hours, and submitting a request is free. An RFP for 10 or more rooms draws group rates rather than a single-room price, and the platform states those group rates save 15 to 40 percent off published rates.
Four nights of 70,000-attendee demand gives the group a week to negotiate rather than one night. Place the request before September 23 and use the housing close as the deadline the hotel has to beat.
Terms to size before signing
A four-night block multiplies attrition exposure. The blocks.travel glossary states that hotels calculate attrition per night on blocked rooms against picked up rooms. Under a per-night test, a strong Thursday does not offset a soft Saturday. Ask for cumulative measurement across the four nights.
A comp ratio of 1 per 40 room nights is the common starting point, and 1 per 35 is the improvement to ask for, accrued on cumulative pickup. Ask for credit on any room the hotel resells and for release dates at 90, 60 and 30 days.
Guard the group against unsolicited housing offers
The organiser states that groups and individuals send unsolicited emails offering accommodation inside and outside the room block and claiming to represent the convention. The organiser states that those senders do not represent the convention and asks recipients to forward the messages to convention@ffa.org. Reserve inside the chapter channel before September 23.
Where to send the request
