A page with ten hotels and no rate
The SCI Annual Hunters Convention runs January 20 to 23, 2027 at Music City Center in Nashville. The organiser counts 18,000+ attendees, 950+ exhibitors and 114+ countries. Its hotels page lists ten properties with a distance and walking time for each, and it carries no dollar figure. The rate sits behind the Book Your Room button on each card.
A property sets that rate. The charges the organiser does publish are the garage, the taxi and the badge.
Two blocks, one hundred and fifty dollars apart
The links resolve to Cvent Passkey blocks. The Embassy Suites by Hilton Nashville Downtown block runs January 15 to January 27, 2027. The Westin Nashville block runs January 16 to January 25.
For five nights from January 19 to 24, the Westin block lists a Deluxe Queen at an average $359 a night and a Heavenly 2 Queen Room at $384. The Embassy Suites block offered one room type on the same search, a Panoramic Corner King Suite at $509 a night. The two entry rooms sit $150 apart across the same five nights.
Both blocks print the same tax line: rates exclude 16.75% sales and room tax plus a $2.50 city tax per night.
The block totals read $1,795.00 of room, $300.66 of sales and room tax, $12.50 of city tax and $2,108.16 for the Westin Deluxe Queen. The same five nights at the Embassy Suites corner suite read $2,545.00, $426.29, $12.50 and $2,983.79. The grand totals sit $875.63 apart.
Ask for the all-in figure per night. A $150 difference in the nightly rate carries $125.63 of tax across five nights.
Parking, with no block rate at all
The Music City Center garage sits at 701 Demonbreun Street. The tiers read $15 up to five hours, $20 from five to nine hours, $25 from nine to twelve, $30 from twelve to eighteen and $45 overnight. A lost ticket costs $45.
The ticket allows no in and out, and trailers are excluded. Special event rates may apply and are posted on entry.
Show hours run 9 a.m. to 5 p.m. Wednesday through Saturday. That is an eight-hour day and the $20 tier. Five overnight tickets read $225, or 10.7% of the $2,108.16 five-night total at the Westin. The overnight ticket costs $15 more than the twelve-to-eighteen-hour tier, and a guest who leaves the garage and returns buys a second ticket.
The taxi flat rate and its break-even
The transportation page prices a taxi at a $9 base plus $2.50 a mile. A flat $30 applies to downtown Nashville and to Gaylord Opryland Resort. A second passenger adds $2.
The flat $30 matches the meter at 8.4 miles. A shorter trip runs cheaper on the meter, so the flat rate is worth asking for by name.
Six nights, because of Sunday
The night schedule fixes the room count. The SCIF Conservation Leadership Award Gala runs Tuesday, January 19 at the Omni Hotel Broadway Ballroom, 6:00 to 10:30 p.m. Thursday's auction sits at the Ryman Auditorium, with general admission from 8:00 p.m. The Friday and Saturday dinners open doors at 6:00 p.m. in the MCC Grand Ballroom, and the Grand Slam Club/Ovis dinner runs Sunday, January 24 from 6:30 to 9:00 p.m. in the same room.
A Tuesday January 19 arrival with a Sunday January 24 checkout holds five nights and misses the Sunday banquet. That banquet needs a sixth night, with departure on Monday January 25.
The badge terms that fix the date
Registration tiers close December 1, 2026. The four-day badge reads $385, the three-day $340, the two-day $275 and the one-day $155. Youth badges cost nothing, at 0 to 12 and at 13 to 17. The convention is members only, and each active member may bring one guest.
A lost or forgotten badge costs $75, or 48.4% of the one-day badge. Refund requests close January 4, 2027 at midnight CST and cover badges and event tickets.
The Westin block publishes a cancellation policy: "If the reservation is cancelled at least 48 hours prior to arrive, a refund is guaranteed. If cancellation is within 48 hours of arrival, the deposit will be processed as a cancellation charge." The room stays refundable past the badge deadline. Book the room now and hold it while the badge decision runs to January 4.
Seating, and the table trade
Single event tickets seat first come, first served, and the organiser states that the arrangement does not guarantee seating with a group. Tables seat eight for the Friday and Saturday dinners, VIP tables seat up to ten, and seating charts stay unpublished. A party of five buying single seats holds five seats apart. One table of eight fixes the group in a single purchase.
Five asks for the request
One: the all-in nightly figure, with the 16.75% and the $2.50 printed as separate lines. Two: the parking and valet charge per night, in writing, beside the $45 overnight garage rate. Three: the cancellation line exactly as it will print on the confirmation. Four: the Sunday January 24 night at the same rate as the other five. Five: the block name for the telephone desk. The organiser publishes both names: Room Block SCI 2027 and I Am With Safari Club International Room Block.
What the organiser leaves open
The hotels page states that SCI does not manage individual reservations, and that changes go through the property. A booking made outside an official link can be moved into the block on request, and the FAQ calls the result uncertain. The Hotels menu item still carries a Full Availability Aug. 5 badge while the page states that Omni Nashville is sold out with no waitlist and no additional rooms.
Sending the request
hotelhaggle sends one request to 50+ hotels in the destination and returns every offer side by side in one dashboard. The submit step costs nothing, and the hotels pay the commission. Two blocks on the organiser's own page price the same five nights $150 apart. A request reaches the properties behind the other eight cards.
