What a 380-Athlete Field Gives a Negotiator

The field is 380 athletes

The NCAA Division II Men's and Women's Swimming and Diving Championships run Tuesday 9 March through Saturday 13 March 2027 at the IU Natatorium in Indianapolis. The NCAA event page lists those dates and that venue, with preliminaries and finals in swimming alongside diving.

The 2026-27 Important Updates names the field. Men fill 175 places, 157 swimmers and 18 divers. Women fill 205 places, 183 swimmers and 22 divers. Every invited athlete counts toward the 380 total.

The same memo carries the roster mechanics. Coaches who entered more than 18 swimmers must take a call from the NCAA championships manager between 8 a.m. and noon Eastern on Tuesday 23 February 2027. The deck-pass formula runs in bands up to 15 to 18 swimmers per gender, with one extra pass for any diver and one for any relay-only swimmer.

Five days open on a Tuesday

The 2026 championships ran Tuesday 10 March through Saturday 14 March at the Deaconess Aquatic Center in Evansville, with the men's and women's 800-yard freestyle relay at 6 p.m. on the Tuesday, per the participant manual.

The 2026-27 Important Updates dates the 2027 meet Tuesday 9 March through Saturday 13 March at the IU Natatorium, with the diving qualification meet at the same venue on Tuesday 9 March. The memo carries no daily session clock for 2027, and it states that the Prechampionships Manual will be posted on ncaa.org by mid-November with that detail.

Ask for both night counts in one quote. A Tuesday 9 March arrival against the Saturday 13 March release is four nights. A Monday 8 March arrival is five and puts the party in place for the diving qualification meet.

No Indianapolis team hotel list is published for 2027

The NCAA event page carries a heading titled Championships Team Hotel Options. The only document under it is the 2025-26 Championships Hotel Options for Evansville, Indiana. No Indianapolis property, rate or cut-off appears there for 2027.

The page names no host organisation for 2027. Build the number before the first call, and set the published list beside it when it lands.

What the prior cycle block published

The 2026 cycle ran at the Deaconess Aquatic Center in Evansville. The NCAA hotel document lists seven properties, each 7.3 miles from the venue, with a rate, a block by night, a tax line, a cut-off and an amenity list.

Double and double rates run from 115 to 159 dollars a night. Add the printed 15 percent tax and the all-in band is 132.25 to 182.85 dollars. The seven blocks total 1,230 room nights across the March 8 to March 14 window. Each property adds one complimentary room night for every 25 paid.

Every property printed the same cut-off, Monday 2 March 2026 at 5:00 PM local time, the Monday eight days before the Tuesday opening. These are the only property-level rates this championship publishes.

Parking and breakfast are standing terms

All seven properties print complimentary self and bus parking for the duration of the event. Six of the seven print a complimentary hot breakfast. The Courtyard Evansville entry carries no breakfast line.

Name both in the request. The 2026 blocks carried both at no rate movement. The property with no printed breakfast row is the reason to keep the term in writing.

Fix the walk-away before mid-November

The 2026-27 Important Updates states that the Prechampionships Manual will be posted on ncaa.org by mid-November. Until that document lands, no source publishes a 2027 Indianapolis property list, rate or cut-off.

Set the ceiling now. The prior cycle band tops out at 182.85 dollars all-in and bottoms out at 132.25 dollars. An offer above the top of that band needs a named concession to close the difference.

Cross-check the month. Engine measures Indianapolis at 128 dollars a night across 1.2 million public rate observations from May 2024 to April 2026. Engine counts par rates, the cheapest public price at the time of each search. March reads 122 dollars, five percent under the city figure. February is the low at 107 and May is the high at 158.

The party is not final until late February

The same memo dates the roster decisions. Coaches report swimmers who became unavailable by noon Eastern on Tuesday 23 February 2027. Entry challenges close at 3 p.m. Eastern that day. Official qualification lists, including alternates, post on ncaa.com by 5 p.m. Eastern on Wednesday 24 February 2027. Relay confirmations are due by 5 p.m. Eastern on Friday 26 February 2027.

The rooming list firms up inside that window, so ask for a cut-off after 24 February 2027.

The ask, in order

Submit one request for the whole stay. hotelhaggle.org sends it to 50+ hotels at once, and the site states that hotels accept, counter or decline. Responses typically arrive within 24 to 72 hours. Submitting is free.

Name the terms. The platform's negotiation guide lists the concessions worth asking for: complimentary breakfast, waived resort fees, free parking, suite upgrades and flexible cancellation terms. The prior cycle document shows breakfast and parking already sit inside the team blocks this championship publishes.

State the room count plainly. The platform states that most hotels offer group rates for 10 or more rooms per night, that some discount from five rooms, and that a group needing 30 rooms holds three times the leverage of a group needing 10.

Use the shoulder band. The platform states that shoulder nights from Sunday through Thursday run 20 to 30 percent below peak nights. A Monday 8 March arrival and a Saturday 13 March release sit inside that band.

Put the contract terms in the request. The platform's glossary defines the RFP as the form you submit with your destination, dates and price, and states that hotels respond with acceptances, counter-offers or declines. Ask the property to state its attrition floor in writing, and size the room count against a roster that is not final until 24 February 2027.

Indiana is not on the platform's restricted-state list. hotelhaggle.org states that Florida, Hawaii, Iowa and Washington restrict name-your-price bookings under state travel laws.
