The entry a $150 check covers

The 45th Annual Official Martin Luther King Jr. Parade of the City of Dallas steps off Monday 18 January 2027 at 10:30 AM. H.E.L.P. Dallas runs registration, and the parade page publishes the fee: $150 covers 50 participants and one vehicle. Extra vehicles cost $15 each with a limit of five. A trail ride group pays the same $150 for 50 participants and one horse, with extra horses at $15 each and a limit of three.

Car clubs pay $200 for the first five cars and $15 for each additional car to a limit of 20, with no walkers. Motorcycle clubs pay $200 for the first ten cycles and $15 for each additional, limit three, with no walkers. Trail ride groups submit Coggins and health certificates for every horse before the Planning Committee authorises the entry.

Payment and the point registration is complete

Registration is not complete until the entry fee has been paid. Payment runs online, by money order, or by cashier's check made payable to Hope Encourage Love Protect (H.E.L.P.). A group that mails a cashier's check holds no place until the check clears, so the send date matters against the 12 January meeting below.

The no-refund sentence, read whole

The page carries one paragraph on money. It opens flat: there are no refunds for this event, and every group is encouraged to plan and agree before paying. The same paragraph then says the organisers are mindful of emergency circumstances that may grant an exception. It adds that a paid participant who cannot attend for another reason can have the organisation's participation credited or comped for the next year. The exception is something the organisers may grant. The credit is something they can offer. The page sets no written standard for either, no deadline for asking, and no definition of emergency circumstance.

The rules document attached to the application adds a refund route the page leaves out. Rule 2 states that not all applicants will be selected and that refunds will be granted if an application is not accepted. Rule 3 reserves to the 2027 Parade Committee the right to accept or reject any parade unit application. A group that pays and is then rejected holds a written refund right. A group that pays and then cancels holds a discretionary credit. Both documents sit on the parade page.

The Act of God clause

The paragraph closes on postponement. If the parade is postponed or cancelled by an Act of God, plans for the parade will be communicated as soon as possible. The page commits to communication on that trigger and states no refund, no credit and no reschedule date. A group budgeting $150 against a January weather risk should ask for the reschedule terms in writing. It should also ask whether the credit offer in the same paragraph applies when the organisers cancel and the group still wants to march.

The meeting that forfeits the entry

At least one representative from each organisation must attend a mandatory logistics meeting before the parade. The page fixes it at Tuesday 12 January 2027 at 6:30 pm at MLK Center Building A, 2922 MLK Blvd, Dallas, TX 75215. Failure to attend forfeits participation. The meeting falls on a weekday evening six days before the parade. Name the attendee in writing when the application goes in and ask the organisers to confirm the name back.

What the rules add after acceptance

Rule 4 requires committee approval for any addition or change to a unit after acceptance, and states that units with unapproved changes will not be allowed on the route. Rule 10 bars tossing candy, pamphlets or other materials along the route and allows handing items directly to spectators. Rule 11 requires advance approval for unit signage. Rule 14 lets Parade Marshals and Parade Staff remove any unit without prior notice. The application carries a release and waiver of liability, and an unsigned waiver leaves the application incomplete and void. Proof of insurance goes in with the application for every vehicle.

What to put in writing before the check

Ask for the participant count and the vehicle count printed on the receipt, since the fee covers 50 and one. Ask what evidence the organisers accept for an emergency exception, who decides it, and how long an answer takes. Ask for the credit and comp terms in writing with the year they apply to. Ask what happens to the fee when the organisers postpone. Confirm the logistics meeting date and the name filed against the organisation. The contact routes are 469-592-1388 and contact@help-dallas.org, with the office at 400 N. Ervay St. #133054, Dallas, TX 75313. The theme for the year is From Dream to Action, and the organisers mark 45 years of the parade.

Rooms for the Monday

The parade page and the application publish no hotel partner, no room block and no nightly rate. The event lands on a Monday holiday, so most visiting units need the Sunday night at minimum. A group books its own rooms and carries the risk on its own deposit. hotelhaggle.org sends one request to qualified hotels in the destination at no charge, and the home page lists 125 hotels in Dallas. Texas carries no restriction on the seller-of-travel page, which limits Florida, Hawaii, Iowa and Washington. Ask each responding hotel for the Sunday night rate on its own and for the Sunday to Tuesday total.
