The International Mass Timber Conference 2027 splits a company budget across three bills: the pass, the booth and the room. Two publish a discount rule with figures. The third publishes a promise and no number.

Which dates your contract covers

The Oregon Convention Center lists this booking as March 17 to 20 in Halls A, A1, B, C, D and E. The conference producer, Trifecta Collective, lists the event as March 16 to 19, Tuesday through Friday. The agenda gives the Tuesday over to move-in, the building tours and an after-hours event. The venue card and the organiser sit one day apart at each end.

Lever one: 30 percent for the early bird

The registration page opens with 30 percent off through the early-bird special on select passes, and calls that offer the best discount it sells. The pass list below prints one price per pass: $997.50 for a full general pass, $699 for exhibitors and sponsors, $725 for educators, government and non-profits, $295 for students, $350 for the Tuesday tours, $700 for Wednesday only, $825 for Thursday only and $450 for Friday only.

No struck-through list price sits beside any of them. The page shows neither the passes the 30 percent covers nor the date it ends. The frequently asked questions answer the scheduling question with the line "Early Bird Discounts Coming Soon." while the registration page is already selling the discount.

Lever two: a tenth for a group order

The registration page prints one more rule under the full general pass and under each of the three day passes. Buy 3 or more of these passes for employees of the same company on the same order and take an additional 10 percent off the price of each pass. Three full general passes at the printed $997.50 come to $2,992.50, and the tenth takes $299.25 off that order.

The FAQ splits the threshold by pass type and prints its own exclusions. Exhibitors and sponsors need 5 or more passes per company for the tenth. General attendees need 3 or more. The discount does not apply to educator, government and non-profit passes, student passes, tours or receptions. Both group registration routes on that page read Coming Soon, so the published discount and the published way to claim it sit at different stages.

The booth rate is a question about square feet

Exhibit space is priced per net square foot in two bands. Spaces of 100 to 300 net square feet run $25.95 a foot. Spaces of 400 net square feet and above run $19.95. A corner adds a $250 fee. The published examples show the gap: a 10 by 10 inline space at 100 net square feet is $2,595, and a 20 by 20 island at 400 net square feet is $7,980.

Same 400 square feet, two ways to buy it. Four 10 by 10 inline spaces at the published example price total $10,380. One 20 by 20 island is $2,400 less. The page prices each space by its own band and does not state whether adjoining inline spaces are repriced as one footprint. Ask the sales desk whether a total footprint can be priced in the 400 foot band. Melissa Sklenar is the named contact at (818) 416-2617.

Two more terms belong in the message. Exhibit space fees do not include attendee passes, which the page states twice, so a 10 by 10 space at $2,595 needs at least one exhibitor and sponsor pass at $699 on top. The inclusion list also carries a 30 percent discount on select exhibitor and sponsor passes, a separate offer from the early-bird sentence that names no qualifying passes.

Where the room rate actually lives

The hotel page names MCI USA as the only official housing provider and states that blocks are open at negotiated rates. It prints no rate for any property and no cut-off date.

The number appears after that control. The booking portal behind it lists three properties with a starting rate and a distance. DoubleTree by Hilton Hotel Portland starts at $189 at 0.46 miles, Hotel Eastlund at $249 at 0.17 miles, and the Hyatt Regency Portland at the Oregon Convention Center at $249 at 0.18 miles. All three carry a 72 hour cancellation term from scheduled arrival.

Tax is additional and differs by property: 16.57 percent at the DoubleTree, 11.5 percent occupancy tax plus 1.5 percent state lodging tax and a 3 percent tourism assessment at the Eastlund, and 16 percent occupancy tax at the Hyatt.

Two dates live in the booking data and nowhere in the prose. Each property carries a reservations access date of February 22, 2027 and a hotel close date of March 10, 2027. At a check on 18 October 2026, the portal listed those three starting rates and reported zero rooms available on every night of every block, on a search with no dates and again on a March 16 to 19 search. A zero is a result for one night and one room type. Confirm the room type with MCI USA. The contact is IMTC@mcievents.com and +1 (972) 349-5453.

What to ask for, in order

Four requests, each with a number behind it. Ask which passes the early bird covers, when it ends, and both prices on one line. Ask whether a group order of 3 or more passes can be placed while the group registration form reads Coming Soon. Ask whether a 400 square foot footprint can be priced at $19.95 a foot as one island.

The room is the fourth. Ask MCI USA for the negotiated rate in writing for a March 16 arrival, ask which nights hold rooms, and ask the property to confirm the tax line the portal prints. The spread inside one block is $60 a night, and the cheapest rate is the furthest property from the hall.
