Work Truck Week 2027 runs March 9 to 12 at the Indiana Convention Center in Indianapolis. NTEA, which produces the event, published the dates and the shape of the program on Aug. 11, 2026, and repeats them on the event site.
March 9, 2027 is a Tuesday. March 10 is a Wednesday. March 11 is a Thursday. March 12 is a Friday.
The program sets the nights
Four blocks make the week. Future Truck Summit runs March 9. The educational program runs March 9 to 11. The Work Truck Week Ride and Drive runs March 10 and 11. The Work Truck Show exhibit hall is open March 10 to 12.
Future Truck Summit is new for 2027 and replaces Green Truck Summit. NTEA holds it at the JW Marriott Indianapolis on the Tuesday, the day before the exhibit hall opens, and develops the curriculum with NAFA Fleet Management Association.
A March 9 arrival and a March 13 departure covers every block. That stay is four nights: March 9, 10, 11 and 12. Ask for it priced as one block of four nights, and ask for the March 8 rate on its own line for a crew that builds a booth.
Carry the benchmark count into the call
Visit Indy publishes more than 9,400 hotel rooms downtown, with 5,200 connected to the Indiana Convention Center. Its connected-hotel page counts 12 hotels and 5,200 rooms in the convention package.
The Indiana Convention Center publishes 7,100-plus hotel rooms downtown, with more than half of them within blocks of the Center and Lucas Oil Stadium, and 4,700 rooms connected by skywalk. The two publishers give different counts. Write both into the file before you open the negotiation.
Quote the supply count before you counter. NTEA describes the 2027 show floor at 500-plus exhibitors, and reports 15,646 commercial vehicle professionals from 29 countries and all 50 U.S. states at the 2026 edition, across 547 exhibiting companies in a sold-out hall.
The registration window is the buying clock
Registration and housing for 2027 open in the fall, and NTEA members receive discounted registration fees. The 2026 cycle shows the shape: registration and housing opened Oct. 21, 2025, and the early-bird deadline fell on Feb. 13, 2026. A block placed at the opening of registration meets the inventory first.
NTEA has published no 2027 room block, no nightly rate and no cut-off date. Ask each property for its last date to trim the block, its release date for unbooked rooms, and its policy on a block that grows through the fall. NTEA also publishes its dates through 2030, at the same venue: March 7 to 10, 2028, March 6 to 9, 2029 and March 5 to 8, 2030.
The same week draws a second room pool
The IU Natatorium calendar lists the NCAA Division II Swimming and Diving Championships for March 9 to 13, 2027, four nights that sit inside the Work Truck Week window. Ask each property what else it holds that week and when it releases those rooms.
What to put in the request
One request through hotelhaggle goes to 50 or more hotels in the destination. Submission is free, and the platform states responses arrive inside 24 to 72 hours. Hotels pay the platform a commission when a booking closes, and you pay the property directly. Group rates start at 10 rooms per night at most properties, and some properties discount from five rooms.
Send four asks with the dates. Truck and trailer parking with a place to store gear. Meeting space on the same contract as the rooms. A breakfast start before the first session. The last date to trim the block.
Price the concessions with the rate
The platform lists six levers for group rates. The concession list is one of them: complimentary breakfast, waived resort fees, free parking, suite upgrades and flexible cancellation terms. The walk-away term is another. An offer can be declined at no cost, and a property that wants the booking can return with a better one.
Price the four nights against the whole offer. Breakfast for a delegation, a waived parking charge and a later cancellation date all move the real cost of the stay.
Split the shoulder nights from the Friday
The platform states that shoulder nights, Sunday through Thursday, carry a 20 to 30 percent discount against peak nights. Three of the four Work Truck Week nights are a Tuesday, a Wednesday and a Thursday, so they sit inside the shoulder band. The Friday, March 12 night sits at the peak rate.
Ask for the four nights split into a three-night shoulder block and a single Friday night. A quote that prices all four at one rate hides which side of the week carries the premium.
Terms to close before you sign
Collect one written confirmation. The nightly rate for March 9 to 13, 2027 as one block of four nights, plus the March 8 rate. The cut-off date and the release date on unbooked rooms. The deposit amount and due date. The attrition percentage and the penalty formula. The rooming list deadline and the charge for a name change.
Fix the arrival date for the whole group. Staggered arrivals split the inventory, and held meeting space can go with it. Hold the Tuesday to Friday pattern first, then test the Friday night as a separate decision.
