The room rate is already fixed
TRB has negotiated the federal per diem rate for guest rooms across its 2027 hotel block. The rate is $203 a night. The organizer applies that figure to every hotel on its list. A buyer who writes in asking for a lower room rate is asking the organizer to reopen a number it has already set.
The rest of the folio stays open. Parking on the same list runs from $43 a night to $80 a night. Breakfast comes with the room at six of the 23 properties. The walk to the hall runs from an adjacent property out to 0.7 miles.
Twenty-three hotels, three marked sold out
TRB publishes a hotel comparison sheet for the meeting. The sheet carries a revision line: as of September 1, 2026, subject to change. It lists 23 properties inside 0.7 miles of the Walter E. Washington Convention Center.
Three carry the words sold out. The Conrad at 950 New York Ave NW sits 0.2 miles out. Embassy Suites Convention Center at 900 10th St NW sits 0.2 miles out. Marriott Marquis at 901 Massachusetts Ave NW stands adjacent to the hall.
That leaves 20 properties holding an open block room on the September sheet. The Marriott Marquis matters twice: it is one of the two meeting venues, and its rooms are gone.
The walk runs from next door to 0.7 miles
Two properties sit 0.1 miles from the hall: Courtyard Downtown/Convention Center at 901 L St NW and Westin Downtown at 999 Ninth St NW. Le Méridien DC, The Madison at 1177 15th St NW sits 0.7 miles out and closes the spread. The distance between the two ends is 0.6 miles.
The organizer publishes two transport figures beside the map. A taxi between the Convention Center and the TRB hotels runs about $5 to $15. The nearest Metro stop is Mt Vernon Square/7th St–Convention Center on the Green and Yellow lines.
Breakfast lands at six addresses
Six properties mark the breakfast column on the TRB sheet. They are Embassy Suites Convention Center, Fairfield Inn & Suites Downtown, Hampton Inn Convention Center, Holiday Inn Express Downtown, Homewood Suites Convention Center and Hyatt House Convention Center.
Embassy Suites is one of the three sold-out properties, so five of the twenty available hotels carry breakfast. Three of those five sit inside 0.3 miles. Hampton Inn is 0.2 miles out, Homewood Suites 0.3 and Hyatt House 0.3. The sheet publishes no cash value for the meal.
Three more properties mark breakfast as on request: The Conrad, Eaton DC and Riggs Washington DC.
Parking is the line that moves
Twenty-two of the 23 properties publish a valet rate. The band runs from $48 at Morrison Clark to $80 at The Conrad and Westin Downtown. The sheet states that these figures exclude tax.
Two properties publish a self-park rate. Washington Plaza at 10 Thomas Circle NW charges $43 a night. Westin Downtown charges $58 a night for self-park and $80 for valet.
The arithmetic on a four-night stay is the strongest ask on this row. Four nights at $203 comes to $812. Parking for the same four nights comes to $172 at Washington Plaza and $320 at the $80 valet rate. The difference is $148, or $37 a night.
Registration comes before the room
TRB states the rule in one line. Registration for the meeting is required to secure a guest room within the TRB hotel block. TRB will not hold a block room without one.
The deadlines run in sequence. Early bird registration closes November 18. Advance registration runs November 19 to January 7. Onsite registration starts January 8. The meeting runs January 10 to 14.
The block carries three terms worth reading before the card comes out. A credit card guarantees the reservation. The card is not charged at booking. Rooms booked through the block include Wi-Fi.
The block shuts on December 21
TRB accepts reservations through December 21, 2026, or until the block sells out, whichever comes first. December 21 is a Monday.
The change policy splits into three windows. Before December 22, every change and cancellation goes in writing to TRBHousing@spargoinc.com. From December 22 to 28, neither the bureau nor the hotels can touch a reservation. From December 29, the confirmed hotel handles changes directly.
Two charges sit behind that policy. A cancellation inside 48 hours of arrival, or a no-show, puts one night of room and tax on the guarantee card. Some hotels charge an early departure fee when the departure date moves after check-in. TRB advises confirming the departure date at check-in.
What to put in the request
Ask for the rate last. The $203 is fixed, and a fixed rate leaves the terms as the open field.
Name the $43 self-park rate at Washington Plaza and the $58 self-park rate at Westin Downtown. Ask the property to price its valet rate against that figure. Ask which of the five available breakfast properties still holds inventory at 0.2 or 0.3 miles. Ask for the parking tax rate in writing, because the sheet publishes the rate before tax.
Then set the departure date at check-in. That one confirmation keeps the early departure fee off the folio.
Where the sheet stops
The comparison sheet carries no breakfast value, no tax rate on parking and no figure for the garages around the Convention Center. The organizer states only that multiple garages operate nearby with hourly and daily rates.
The revision line reads September 1, 2026. Each sold-out flag and each available property needs a fresh read at the housing bureau before a buyer commits a card.
